Configure an SMTP server for Office 365 or Microsoft 365

There are two options for Office/Microsoft 365:

• Configure an SMTPSimple Mail Transfer Protocol (SMTP) is the mechanism by which an email client program sends emails to an outgoing mail server (SMTP server) for delivery to the intended email address. Relay - We recommended this option.

• Use the Outlook.com pre-configure/basic auth option - We don't recommend this option because it relies on username/password authentication, which Microsoft is deprecating soon.

To configure the SMTP Relay option:

1. Follow these Microsoft instructions to configure the relay in your Microsoft/Office 365 environment. To set up the relay, you need to provide a static IP address in the relay settings (setup steps are included in the Microsoft instructions).

   • This address needs to be the static, public address that MS 365 or Office 365 sees the Application ServerAn Application Server is the primary server program responsible for providing the PaperCut user interface, storing data, and providing services to users.    • Depending on your network setup, you may be able to use a free tool to find your ‘public’ facing IP address provided by your ISP.

   • If you have a more complex network setup you will need to find out which public address your PaperCut Application server is using. You may also be using this address to present to ‘external components’ within your PaperCut configuration.

   • Please note that you do NOT need to make your PaperCut Application Server publicly accessible to use the relay option.

2. Select Options > Notifications.

3. In the SMTP Server Options area, select Custom.

4. In the Host field, type the MX record you noted in step 1. It should be similar to “your-domain.mail.protection.outlook.com”.

5. In the Port field, type 25.

6. In the Encryption dropdown, either select None or the encryption type you prefer.

   IMPORTANT

   If you select a different encryption type, you'll need to reset the Port value back to 25. For Microsoft/Office 365, the port value will always need to be 25 no matter what encryption type is selected.

7. Leave the username and password fields blank.

8. In the Email Options area, in the From address field type an email address from your domain.

9. Click Apply.
